Privacy policy
What we collect, why we need it, and what we do with it.
We come into your home and cook for your friends, so we end up knowing more about you than most businesses do. This page explains exactly what that means.
We collect only what we need to run your evening. We do not sell your information to anyone, ever.

What we collect.
When you enquire or book, we collect:

Your name, email address and phone number

The address where the evening will take place, and how to get in

Your answers to the intake form, including guest numbers, dietary requirements and the occasion

Photographs of your table and room, if you send them to us before the evening

Payment information, handled by our payment processor rather than stored by us

Your correspondence with us
When you use this website we also collect basic technical information such as your IP address and how you moved through the site.

Why we need it.

To confirm your booking and take payment

To buy the right ingredients in the right quantities

To arrive at the right place, at the right time, and get through the door

To keep your guests safe, particularly around allergies

To plan the room, which is why we ask for photographs of your table

To answer your questions and follow up afterwards
We do not use your information for anything else without asking you first.

Your guests.
The intake form asks you about the people you have invited. That includes their dietary requirements, and some light-hearted questions about who in the group is the confident cook.
Those people have not agreed to anything with us, so a couple of things follow. Please only tell us what your guests would be comfortable with you sharing. And please let them know we will be filming and photographing, before the evening rather than on the night.
We use what you tell us about your guests only to run your evening. We do not add them to any list, contact them afterwards, or keep their details once the record of your booking is deleted.

Allergy information.
Allergies and dietary requirements are health information, and we treat them more carefully than anything else you tell us.
We collect them because we cannot serve your guests safely otherwise. They are seen only by the people preparing and serving your food, they are never used for marketing, and they are deleted with the rest of your booking record.
We will always ask rather than guess, and where an allergy has not been declared in advance we will decline to serve rather than take a risk.

Photographs and video.
We film and photograph at every evening. This is set out in your booking terms and repeated in your confirmation, so nobody is surprised.

You can opt the whole evening out at booking, at no cost

Any guest can opt out on the night and we will keep them out of frame

We never publish a recognisable face without your agreement at booking

We never name, tag or publish a private address

Ten to fifteen edited photographs are sent to you two days later, yours to keep
If you change your mind later about an image we have published, tell us and we will take it down.

Who else sees it.
We do not sell your information and we do not share it for anyone else's marketing.
We do use a small number of services to run the business, and they hold some of your information on our behalf:

Our website and booking system, which stores your enquiry and booking details

Our payment processor, which handles card details directly. We never see or store your full card number

Our email provider, for confirmations and, if you have asked for it, our newsletter
Our hosts and runners see what they need to run your evening, which is the address, the guest numbers and the dietary requirements. Nothing more.
Some of these providers store information outside Canada, which means it may be subject to the laws of another country.
We would also share information if the law required it, or if it were genuinely necessary to protect somebody's safety.

How long we keep it.

Booking records, including intake form answers, for two years after your evening

Financial records for seven years, because tax law requires it

Photographs and video indefinitely, unless you ask us to delete them

Newsletter subscriptions until you unsubscribe

Enquiries that do not become bookings, for one year
Allergy and dietary information is deleted with your booking record and is never kept longer.

How we protect it.
We keep your information on password-protected systems, we limit access to the people who need it, and we do not keep paper copies of intake forms in a van.
No system is perfect. If something ever went wrong in a way that put you at real risk, we would tell you and the Privacy Commissioner of Canada, as the law requires.

Emails.
If you book with us we will email you about your evening. That is part of the service and you cannot opt out of it, though it stops once your evening is done.
We only add you to our newsletter if you have asked us to. Every newsletter has an unsubscribe link and we act on it immediately.
We do not buy email lists and we do not email people who have not heard of us.

Cookies.
This website uses cookies to keep the site working properly and to understand roughly how people use it. You can block or delete them in your browser settings, though some parts of the site may stop working if you do.
Your rights.

Under Canadian privacy law you can ask us to:

Tell you what information we hold about you

Correct anything that is wrong

Delete your information, where we are not required to keep it

Withdraw your consent to marketing at any time

Take down a photograph of you
Email us and we will deal with it within thirty days. There is no charge.
If you are not happy with our answer
You can complain to the Office of the Privacy Commissioner of Canada, at priv.gc.ca. We would rather you told us first so we can put it right, but the route is there either way.
